Position: Project Coordinator

Location: WWF-Philippines Headquarters, Quezon City

Working with: HR, Admin, IT, Finance units, Project teams

Reporting to:  HR-Admin Manager (HR support)

 

Charging: 50% IPO and 50% NGCP

 

General Description:

The Project Coordinator will provide administrative support to the Sustainable Production and Market Engagement (SPME) projects, and will liaise with the various projects, field offices and project partners to communicate and coordinate the activities and directives from the Management Committee. He/she will also provide support to HR in terms of recruitment, hiring and contract preparations.

Detailed Functions and Responsibilities:

  • Provide administrative support to SPME projects on a day-to-day basis, with priority given to IPO Watershed, AgriKlima and NGCP projects
  • Coordinates and assists in the preparation of documents, materials and logistics for various meetings, workshops and conferences;
  • Arrange and schedule meetings and appointments;
  • Make travel arrangements including the preparation and liquidation of travel vouchers;
  • Coordinate with Administration, IT and Finance units on supplies and equipment requirements;
  • Facilitate the signing of employees and consultant’s contracts and relevant to supported activities;
  • Be responsible for the retrieval and monitoring of consultant’s contracts and ensuring that the signed contracts are forwarded to HRD for filing;
  • Coordinate with the Administration Unit regarding vehicle rentals and vehicle/training room reservations, equipment’s reservations, preparation of gate pass and memo in the receipt for equipment;
  • Coordinate with the Administration unit regrading purchase request;
  • Follow-up and facilitate Administrative coordination with other WWF units;
  • Support Administrative and other logistical requirements such as purchase requests, accounting related activities, and may others; and
  • Perform other relevant tasks that may be assigned from time to time.

 

HR Support

Recruitment and Hiring:

  1. Collaborates with the Communications Team to post job ads on WWFPH Social Media sites
  2. Collaborates with Recruiter to post job ads on careers pages and process incoming resumes
  3. Coordinates communication with candidates and schedule interviews
  4. Coordinates with selected candidates/hired staff for employee requirements
  5. Prepares reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations, etc.)
  6. Handles and assists volunteer applications
  7. Schedules new employee orientation, and exit interviews; forwards employee materials to HR

 

Contract Preparations:

  1. Assists in payroll preparation by providing relevant data, like absences and leaves
  2. Prepares WOS, WOS+, employee, and Consultancy contracts
  3. Handles the preparation and/or management of Travel Grant Agreements
  4. Maintains and safeguards agency records.

 

DELIVERABLES:

  1. Support the preparation of documents and other materials for meeting and events conducted
  2. Meetings and appointments arranged
  3. Travel of relevant project staff arranged, consultant’s contracts processed
  4. Purchase requests processed, coordination with internal WWF Units pursued
  5. Supported Administratively PPTST activities from the field levels
  6. Performed other tasks assigned.
